The calculated value of backpay can be overridden if required, using the Edit option in the Pay Elements screen. This opens a new screen:
- The Original Value field shows the amount calculated by EduPay. This will not change
- The Current Value field shows the amount entered on the last override (if the amount has not previously been overridden then this will equal the Original Value)
- The New Value field is used to enter the overridden amount
If the backpay amount relates to more than one Job Role, each will be listed in the Override screen separately. Users have the option to override each value separately if necessary.
(Users must choose a Reason for the Override from the dropdown menu.)
If the New Value is different from the Original Value, users are asked to confirm they are responsible for amending the calculated Cost of Living Backpay amount:
Once the New Value override amount is saved, the Cost of living - Salary amount shown on the Pay Elements screen will update when the user:
- Processes the Pay Run for the Employee on the One-Off Payment tab, OR
- Locks the whole Pay Run
When the salary payments are made the Current Value amount will be paid to the employee, displayed as Cost of living – Salary on their payslip.
