Recording NCPL (Neonatal Care Pay & Leave) Entitlement

To generate NCPL entitlement for an employee, the baby’s neonatal care stay must first

be recorded in EduPay. 


This process can only be completed by users with the Administrator, Payroll Manager or Manager roles.


  • Go to the Employee record
  • Select the Calendar tab
  • Select ‘Neonatal care leave’ from the dropdown
  • Select ‘Add Entitlement’
  • Record the following:
  • Baby birth date
  • Care start date
  • This is the date that the baby started their period of Neonatal care
  • Care end date
  • This is the last date of the Neonatal care
  • NCPL Contract
  • This can be used by MATs to provide Occupational Neonatal Pay on top of Statutory amounts
  • See ‘Creating a NCLP Contract’ section below
  • Confirmation that the employee is the baby’s parent or mother’s partner and that they will care for the child during Neonatal leave
  • These are HMRC requirements for using Neonatal leave
  • Save


On Save EduPay will calculate the number of weeks leave that the employee is entitled

to and the date that the leave must be used by:



Once the NCPL entitlement is saved, it can be edited or deleted at any point up until leave is taken.


Where a baby has multiple Neonatal care stays within the qualifying period (28 days

from the birth date) and there is a gap between care periods, each period must be

entered as a separate entitlement.


Note that:

  • Neonatal care leave is calculated in weeks – one week of leave for every full week the baby is in neonatal care
  • Any leave not taken by the ‘Entitlement use by date’ will be deleted from the system
  • Where an employee has multiple births (eg twins) and more than one baby is in neonatal care at the same time, employees are only allowed to claim entitlement for one of them. If the babies care overlaps then the entitlement period starts when the first baby enters neonatal care and ends when the last baby is discharged
